Facilities Matters

Let us not make any assumptions... 

Wishlist

Depending on the event objective, location, and size of the group, most of - and in some cases all of - the items listed below are needed to create the surroundings for effective facilitation and impactful learning without distractions. Together, we'll use this wishlist as a facility scorecard and in deciding precisley what is needed and what would merely be nice for our shared guests.

Plenary Room

  • Size - lots of room; reserve +50% compared to listed capacities
  • Layout - easy conversion from circle to horseshoe and groups
  • Beamer - HDMI w. dual ports and remote w. blank & freeze
    - relatively new bulb with great intensity and newer cables
    - preferably not TV/LCD due to limited size
    - preferably not wireless due to use of video
  • WiFi - quick login with minim 30 Mbit up and down, no re-login
  • Speakers - via minijack or through HDMI, w. central volume
  • Airconditioning - effective, fast and silent everywhere
  • Dayligt - lots of windows with fast shades/blinds
  • Lighting/blinds - centrally controlled and easy to darken for video
  • Flips - minimum 4 w. new pens/markers for drawing on paper
    - no whiteboard pens; plan 1 flip per 5 participants 

When needed, typically for larger/special events

  • Microphones - wirelss lapels/neck, from around 30+ participants
  • Power - 220v european at podium and tables 
  • Paper - A4 blank and coloured paper, namecards and post-it notes

Break-out Rooms

  • Location - close to plenary room; less than 3 minutes
    - grouped close together, moving between rooms must be easy
    - preferably with lounge area close by
  • Flips - minimum 1 flip pr 5 participants w. paper pens/markers
  • Paper - blank A4, markers, post-it notes etc. 

Food and Refeshments

  • Coffee & tea - fresh, strong, and without delay/bottlenecks
  • Water - fresh & cold, sparkling and in bottles where needed
  • Snacks - contineous access to fresh fruits and lo-calorie treats
  • Lunch - preferably buffet to allow dining in app. 45 minutes
    - full option to match dietary and/or religious requests
  • Restrooms - close by and with amble capacity

Surrounding Facilities

  • Walking - safe outside area for walk'n'talk in pairs and buddy-teams 
  • View - if possible, from rooms and outside for morning yoga
  • Business center - for print and other preparations
  • Fitness area - with usual equipment and space for yoga

Participant Rooms

  • Nice - clean, quiet and within easy access from central facilities
  • Refreshments - coffe, tea and fresh water in the room
  • Power - international power outlets, 110v and 220v
  • Practicals - iron, ironing board and normal toilitries 
  • Roomservice - minimum to cover appetite from travels

 

And throughout everything and everywhere:
Clear evacuation instructions and exit signs
with on-the-day updated safety brief
by local personnel to lead facilitator.
